Abstract

Abstract

Despite their growing importance, university student records management is hindered by a lack of standardized criteria. This study aims to identify improvement priorities by analyzing the gap between the perceived importance and actual performance of various student record types. Through a comprehensive review of university regulations and case studies, 38 record types were identified, and an Importance-Performance Analysis (IPA) was conducted based on a survey of records managers. The results indicate that, while official records such as event documentation (Quadrant I) are managed effectively, student-generated records such as minutes from self-governing bodies (Quadrant II) have significantly lower performance levels relative to their high perceived importance, requiring urgent attention. Based on these findings, the study recommends establishing a core management system for well-maintained records and then implementing a digital archive to enhance the performance of critical student-produced records. This research provides an empirical foundation for universities to develop effective student record management policies.

Abstract

This study examines how Records in Contexts (RiC) has been applied and adjusted in an actual archival environment, focusing on the case of the Archives nationales de France (ANF). Using a qualitative case study approach, the study analyzes a series of RiC-related initiatives developed at the ANF, including early pilot projects in which the RiC concept was applied to real archival description data. Based on a comparative analysis of publicly available official documentation, the study examines the problem settings addressed by each initiative and the characteristics of the work undertaken. The findings show that the application of RiC unfolded progressively through three analytically distinct phases: experimental implementation, data structure alignment, and the exploration of service transformation. Thus, this study conceptualizes RiC adoption not as a technical choice or a one-time project but as a gradual process shaped within the archival environment.

Abstract

As generative AI has popularized natural language–based conversational interfaces, chatbot services have gained attention as an intelligent alternative to single-turn, keyword-based searches in archival information services. This study implements an intelligent archival information service chatbot Proof of Concept (PoC) based on a previously established question-type classification framework and examines its applicability in archival institutions. The chatbot was developed with five response stabilization rules. Performance was evaluated through quantitative assessment using 50 test queries and qualitative focus group interviews (FGIs) with 3 records management professionals. Results showed 96% accuracy in question-type classification and 84% in sentence structure appropriateness. Qualitative findings indicated suitability for handling repetitive inquiries in public institutions and potential use as a preliminary guidance tool prior to filing an information disclosure request. Based on dual evaluations, four improvement directions were identified: question-type refinement, linguistic rule enhancement, complex sentence handling advancement, and task-data integration expansion. This study presents an empirical model for archival chatbot development by implementing a question-type–based response structure in an actual system environment and validating its functionality and performance through dual quantitative and qualitative evaluations.

Abstract

Although aerial photographic records function as dynamic records whose meanings are reconstructed by citizens, they have received limited attention in archival science despite their high utility. Accordingly, this study aims to examine the process by which aerial photographic records, produced for administrative and military purposes, are transformed from “spatial records” into “place records” through interactions with users. To analyze this transformation of meaning, first, through a literature review, the study established the archival characteristics of aerial photographic records based on theories of space and place. Second, patterns of reconstruction of meaning were analyzed by examining cases of citizen use in administrative and military contexts. Third, through in-depth interviews with planners and researchers, specific utilization values were derived. Finally, the study proposed directions for incorporating the unique characteristics of aerial photographic records into future archival reference services.

Abstract

This study empirically examines how awareness of the documentation of legislative activities was formed and disseminated amid the institutional vacuum in records management in the political domain, and how this accumulation led to the institutional outcome of establishing the National Assembly Records and Archives. The researcher applied the “empirical account” method, cross-referencing the experiences accumulated while participating in the process of supporting the establishment of the National Assembly Records and Archives with documentary sources. The analysis confirms that establishing the National Assembly Records and Archives goes beyond simply creating an administrative organization; it is a process of institutionally implementing political accountability and democratic publicness. Specifically, it highlights the significance of incorporating records of National Assembly members and political parties into the management domain and establishing its role as a “democratic archive” responsive to the digital environment.
